• Date and time sent, date and time received, and confirmation that record counts reconcile on both ends
• Named sender and recipient, so accountability for each transfer is never ambiguous
• Any discrepancy noted at receipt, with resolution tracked through to close-out
• Signed forms retained and readily retrievable as part of the study's audit trail
